Administrative Assistant II - SED

Provides administrative support to the faculty in the Counseling department at the Orlando campus in addition to maintaining the department student records, processing documents, and organizing professional activities/functions.







Provides administrative support for the assigned department which includes:



  • Maintaining record systems for the office, including creating new student files and updating existing files.
  • Reviewing for accuracy course registrations, grade adjustments, student withdrawals, drop/add requests, and other university/school related documents.
  • Maintaining the DOE and CACREP accreditation documents. 
  • Verifing, scanning and uploading of required documents into ADSOE's SharePoint.
  • Researching specific student related academic issues and concerns and provides recommendations to the Coordinator.
  • Providing procedural directions to faculty in completing academic related forms, notifing academic advisors of a change in status of students when such actions were taken.
  • Submitting textbook orders and ordering of desk/examination copies in a timely manner.
  •  Handle all student related activities. 




Managing the office by: 


  • Arranging and scheduling appointments, department meetings dissertation defenses for staff / faculty and students 
  • Attending meetings when requested, for the purpose of serving as recording secretary.
  • Perform a variety of office/clerical duties as they relate to the department activities to include but not limited to, answering phones assisting visitor, ordering and maintain and supplies, handling petty cash and other duties as assigned and or required.



Requirements:


  • High school diploma or GED required. 
  • Vocational/ technical training preferred  -  Administrative Assistant skills, computers, bookkeeping, supervision, human relations skills.
  • Experience in office management, technology, and customer service skilld may substituted for educational or vocational/ technical training.
  • 1-3 years of work related experience required
  • Intermediate knowledge of  Microsoft Office Suite
  • Must be able to type of 30-40 wpm.
  • Proficiency in the operation of computers, scanners, copier/fax machines, and printers. Superior ability to organize information, data, files, etc.
